How to write an effective marketing email ?

Now that you found good prospects likely to be interested by your offer, there is an essential step that allows you to contact a high number of people in record time : the email marketing. You will contact cold propects, that is to say people you’ve never talked to before. Here are the key points on how to successfully cold email potential contacts :

♦ Choose an appropriate sender name : You have to make it easy for your prospect to understand who the message comes from. You can use the name of the company or your own name.

♦ Do not overlook the subject line : It has to prompt the opening of the email. Avoid using spam trigger words such as free, money, click, etc… ; and also the capital letters, at risk of ending up in the spams. It can be also possible (and efficient) to put the name of the person you would like to contact in the subject line (example : To John Smith).

♦ The shaping : Nobody wants to receive an email that request time to read it, and even less the CEO of a company who doesn’t have any minute to waste. The imagery has to be nice, without big paragraphs. You can use lists, with numbers at the beginning of your sentence for example.

♦ Introduce yourself ! : In the first lines of your message, do not hesitate to introduce yourself in order to lay the foundations of a welcoming first contact with your prospect. Specify in a few words what is your job, and why you would like to get in touch with your prospect.

♦ Pay attention to the content of your message : Use simple words, go the the main point. Be clear with who you are and what you offer. You can even create a “double levels reading” using bold letters. Do not forget to insist on the benefits on your product.

Your email also has to encourage your prospect to do something : visit your website, accept a phone call appointment, etc… You can end up your email asking a question to provoke a reply.

♦ And last but not least… the reminders ! : Do not send more than 4 email reminders. After your first email, if your prospect didn’t reply, wait at least 2-3 days before contacting him again. This first email reminder is useful to know if your prospect received your message. Do not follow up everyday, you would run the risk of irritating the person you’re sending the email to.

How to interpret the results of your email campaign ?

You have sent thousands, or even tens of thousands emails, thanks to one of the several exiting email marketing softwares such as MailChimp, and you have now a lot of results and statistics that you have trouble understanding… Dn’t worry, we are going to make them crystal clear for you, so that you will be able to know if the results of your email campaign are as high as you hoped.

The first indicator you have to look at, is the open rate. This is a ratio of emails opened over emails sent. It allows you to know if your object and sender were relevant. A good open rate has to be higher than 40%.

Then, you have to focus on your click rate, which is a very important indicator, because it helps you know how many people clicked on your links, and went on your website or landing page. So, this indicator allows you to mesure the interest that your recipients showed in your message, if they were attracted by what you offer them and if they can be turned into prospects or customers. A good click rate depends on several parameters : relevance and attractiveness of the contents, format of the links, etc… When your click rate is at least 10%, you can consider your email has been relevant.

It has to be at least 10¨%, but for the conversion rate that measures the percentage of people who buy your service, it will be lower.

Let’s take a concrete example. If you send 1000 emails, here are the results you should have : at least 400 openings, 40 clicks and 4 registrations.

Besides, Vtiger is available on mobiles, which is practical for sales representatives who are often away. Sage CRM, like Vtiger, is aimed at SMB. Their services are similar.

It offers a total automation of the workflow, as well as a big storage space in the Cloud.  This tool adapt to suit your working methods and allows you to have many configurations. However, it doesn’t have any analytical tool available.

GetEmail is a French startup located in Paris, created in january 2016 by two engineers. Why can’t GetEmail find all the email addresses ?

As you probably noticed, GetEmail doesn’t find 100% of the email addresses you look for, we will explain you why. Some of your prospects have incomplete LinkedIn profiles, the name of their company is not always mentioned for example. Some people are also jobless, so we are not able to find their email addresses since they are not linked to a company.

Likewise, if you have ever tried to contact a freelancer with GetEmail, you probably encoutered some difficulties to find his/her email address. This is not surprising since the company is unknown, so it can’t be linked to any LinkedIn company page. Moreover, thanks to many feedbacks we have received, we know that GetEmail doesn’t work well on composed names or people with several last names (as in the Spanish speaking countries), but we work hard everyday to improve our service and be in a position to find those more complicated email addresses.

How do we find email addresses ?

On the LinkedIn page, our tool find the email address using the first name, the last name and the domain name of his company. We “scanned” a lot of websites to find the email format of millions of companies. Then, we recreate the nominative and professional email address of the prospect you would like to get in touch with.

  1. do we use the email addresses of our signed up users to provide our service?

No, we don’t, it would be a total nonsense! First of all, it would be unfair to our uses we value and respect. Second, we have 500k+ users, most of them using personal email addresses, whereas we only deal with B2B email addresses. Third, we are able to find out hundreds of millions of B2B email addresses, why would we bother with 500k+ email addresses? Last but not least: let’s imagine for 1 second the unimaginable, if we really wanted to use our users’ data, our users sign up, most of them only give their first name, and their email address… how would we know who they are ?

2. do we sell our users’s database?

No, we don’t! Our community of users is the most valuable asset we have. Our business is in bringing people on board to use our service for free, and offer the ones who like it and want to use it more paid plans, to cater to their needs. This is the only source of revenue we have.
